1. Consultations
HEAL MedClinic provides an initial consultation with a qualified practitioner.
A consultation fee may apply and must be paid at the time of booking, unless otherwise agreed. Consultations are subject to medical suitability and do not guarantee that treatment will be provided.
2. Deposits
A deposit of £50.00 is required to secure all appointments or treatments.
If you choose not to proceed with the treatment, HEAL MedClinic reserves the right to retain deposits or deduct any costs incurred (including the cost of products ordered specifically for your treatment). Deposits are non-transferable unless expressly agreed in writing by the Clinic Director.
3. Cancellations & Rescheduling
For non-surgical treatments, a minimum of 48 hours’ notice is required to cancel or reschedule. Failure to provide sufficient notice will result in 50% of the total treatment fee being withheld or charged. In cases where no deposit was taken, a late cancellation fee of £50.00 will be applied. In exceptional and unforeseen circumstances (e.g. bereavement, hospitalisation), the Clinic Manager may, at their discretion, waive cancellation fees
4. Treatment Packages (Non-Surgical)
Under the Consumer Contracts Regulations 2013, you have a 14-day cooling-off period from the date of purchase to cancel a package for a full refund (provided treatments have not commenced). If treatments begin within the 14-day period and you later cancel, the cost of treatments already undertaken will be deducted from any refund. After the 14-day period: The cost of treatments already undertaken will be deducted; and 50% of the remaining balance will be refunded. Refunds will be issued to the original payment method within 14 days of confirmation, in line with UK consumer law.
5. Medical Suitability & Practitioner Discretion
All treatments are subject to a medical assessment of suitability.
The Clinic reserves the right to decline or withdraw treatment at any time if it is deemed unsafe or inappropriate. In such cases, payments for treatments not received will be refunded, minus any costs already incurred.
6. Refund Policy
Any payments are received for the procedure(s) performed as per prescribed treatment plan and not for any specific result. Although we can achieve great results, absolute success is a variable and cannot be guaranteed. Our aesthetics practitioners will use their experience and clinical acumen to provide you the best possible treatment result.
If you want to cancel services upfront: You will be charged cancellation fee, bank charges, applicable taxes and a prorated balance will be refunded.
If you want to cancel ongoing packages and want refund: You will be charged full price per treatment of the procedures performed. All discounts e.g. monthly promotions, package discounts, and credits issued when you bought the package will be lost. Packages will be prorated using regular price per treatment and a prorated balance will be refunded after bank charges, applicable taxes.
All medical and aesthetic procedures carry inherent risks, which will be explained to you during your consultation and in your consent form. While every effort is made to minimise these risks, adverse events may still occur despite appropriate care. In the event of an adverse event or side effect, refunds are not applicable, as this forms part of the recognised risks associated with these treatments. The clinic will provide appropriate advice, support and follow-up care to help manage and, where possible, resolve any adverse event.
7. Results & Liability
Outcomes of treatments may vary between individuals and cannot be guaranteed.
Your practitioner will provide realistic, evidence-based advice during your consultation.
The Clinic will not be liable for: Results that vary from expectations; Adverse outcomes arising from failure to disclose relevant medical information; or Failure to follow pre- or post-treatment care instructions.
8. Amendments to Terms
HEAL MedClinic reserves the right to amend these Terms & Conditions at any time.
The most recent version will always be available on our website and will supersede earlier versions.
9. Governing Law
These Terms & Conditions are governed by the laws of England & Wales.
Any disputes shall be subject to the exclusive jurisdiction of the English courts.
10. Data Protection & Privacy
HEAL MedClinic is committed to protecting your personal data in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
We collect and process personal data, including sensitive medical information, solely for the purposes of: Providing safe and appropriate care and treatments;
Managing appointments, billing, and payments; and Meeting legal and regulatory obligations. Your data will be stored securely and will not be shared with third parties, except: Where required by law; With regulators, insurers, or other healthcare professionals (if necessary for your care); or With your explicit consent. Medical records will be retained for a minimum of 10 years in line with healthcare record-keeping requirements, after which they will be securely destroyed. You have the right to:
Access your personal data; Request correction of inaccurate data; Request erasure of data (where legally permissible); Restrict or object to processing; and Data portability (where applicable). Requests regarding your data should be made in writing to the Clinic.
